Edelweiss Virtual (“Edelweiss Virtual”, “we”, “us”, or “our”) operates the https://flyedelweiss-virtual.com/ website and various services and applications related to the operation of our virtual airline (collectively, the “Services”).

Edelweiss Virtual is a non-profit association under Articles 60 et seq. of the Swiss Civil Code and is responsible for the processing of personal data within the Services operated directly by Edelweiss Virtual.

This Privacy Policy explains what personal data we collect or receive, how and why we process it, with whom it may be shared, how long it may be retained, and what rights you have in relation to your personal data.

We process personal data in accordance with the Swiss Federal Act on Data Protection (FADP/DSG) and, where applicable, other data protection legislation such as the General Data Protection Regulation (GDPR).

We collect and process different categories of information depending on how you interact with Edelweiss Virtual and which of our Services you use.

Types of Data Collected

Personal and Account Data

Personal data processed by Edelweiss Virtual may include, depending on the Service used:

  • First name and last name
  • Email address
  • Pilot number, username, callsign or public display name
  • Country, city or other account information voluntarily provided by you
  • Linked service usernames or identifiers
  • Authentication information and authorization tokens required to connect third-party services
  • Communication and support information

Virtual Airline and Flight Data

When you participate in Edelweiss Virtual, operational information related to your virtual flights and activities may be processed. This may include:

  • Flight number and callsign
  • Departure, destination and alternate airports
  • Aircraft type and registration
  • Flight plan and route information
  • Flight times and flight status
  • Position reports and aircraft position
  • Altitude, speed, heading and other simulated flight parameters
  • Flight reports, PIREPs and booking information
  • Points, bonuses, rankings, statistics and activities
  • Operational messages and ACARS/TELEX communications
  • Training, event and participation information
  • Technical reports, support requests and other information voluntarily submitted through our Services

Not all of this information is necessarily stored directly by Edelweiss Virtual. Some operational information remains under the control of third-party services such as vAMSYS and may only be accessed or displayed by Edelweiss Virtual as part of operating the virtual airline.

Login with vAMSYS

Some Edelweiss Virtual applications use “Login with vAMSYS” to authenticate pilots and provide access to our Services.

When you use Login with vAMSYS, you are redirected to vAMSYS where you authenticate your account and are informed about the data requested by the Edelweiss Virtual application. Depending on the permissions requested and approved by you, vAMSYS may provide us with identity, pilot or contact information.

Once personal data is transferred through the vAMSYS Pilot API into a system operated by Edelweiss Virtual, Edelweiss Virtual processes that data as an independent controller for the purposes described in this Privacy Policy.

Personal data that remains exclusively within the vAMSYS platform is controlled by vAMSYS LTD in accordance with its own privacy policy and terms. Edelweiss Virtual and vAMSYS are separate and independent controllers for the personal data each party controls.

SimBrief and Navigraph

Some Edelweiss Virtual Services integrate with SimBrief and other services operated by Navigraph. These integrations may be used to obtain or display flight planning information such as flight plans, routes, aircraft information, fuel planning, weather information and operational flight plan data.

Where you provide a SimBrief or Navigraph username, identifier or authorization to use such a service, this information is used only to provide the requested integration and related virtual airline functions.

SimBrief and Navigraph process information according to their own privacy policies and terms.

Other Third-Party Services

Depending on the features you use, Edelweiss Virtual Services may interact with third-party platforms or networks such as:

  • vAMSYS
  • SimBrief / Navigraph
  • VATSIM
  • IVAO
  • Hoppie ACARS
  • Flight simulation and aviation-related data services
  • Hosting, infrastructure and security providers

These services may process information independently under their own privacy policies. We encourage you to review the privacy policies of the relevant third-party services.

Usage Data

When you access our website or Services, technical information may automatically be collected. This may include:

  • Internet Protocol address (IP address)

  • Device and operating system information
  • Date and time of access
  • Pages or functions accessed

  • Your consent, for example when authorizing access through Login with vAMSYS or another connected service

Where processing is based on your consent, you may withdraw that consent at any time for future processing. Withdrawal does not affect processing that was lawful before the withdrawal.

Public Flight Information

Certain operational information may be intentionally made publicly visible as part of the virtual airline experience.

  • Flight number and callsign
  • Departure and destination
  • Aircraft type and registration
  • Flight status and phase
  • Simulated aircraft position
  • Altitude, speed, heading and estimated arrival information

For example, such information may be displayed on an Edelweiss Virtual live map, activity page, statistics page or similar operational service.

We aim to limit publicly displayed information to information reasonably required for the relevant virtual airline function.

Personal data may be disclosed or made available to third parties where this is necessary to provide our Services, where you have requested or authorized an integration, or where disclosure is required by law.

  • Virtual aviation networks and services used by you
  • Authorized Edelweiss Virtual staff members who require access for their duties

Edelweiss Virtual is based in Switzerland. However, some of the third-party services and infrastructure used by us operate in other countries.

Where an automated process produces an outcome that materially affects your membership or participation in Edelweiss Virtual, you may contact us and request that the matter be reviewed by an authorized staff member.
